Privacy notice
What we collect, why we collect it, and who sees it. The short version: we never sell your personal information or share it for anyone else's marketing.
Draft pending legal review. This page is a working draft and has not yet been reviewed by an attorney. Sections marked [REVIEW BY COUNSEL] need review before this page is final.

The short version
- We collect only what you give us, plus basic technical information needed to run and protect the site.
- We do not sell your personal information, and we do not share it for advertising or marketing.
- Our website sets no cookies. Our visit counter (Plausible) is cookieless.
- We use autodialed or prerecorded calls, or marketing texts, only if you check the optional consent box. Otherwise we reply only the way you asked, one to one. Replying STOP always works.
Who we are
This notice covers [AGENCY LEGAL NAME] (“Apollos Planning,” “we,” “us”), an independent insurance agency, and the website apollosplanning.com. Our address is [OFFICE ADDRESS].
Financial privacy notice (Gramm-Leach-Bliley Act)
Federal law gives consumers the right to limit some, but not all, sharing of personal information by financial companies, including insurance agencies. Federal law also requires us to tell you how we collect, share and protect your personal information. Please read this notice carefully. [REVIEW BY COUNSEL] (confirm format against the federal model privacy form and any state insurance privacy rules that apply)
What we collect
Depending on what you ask us to do, we may collect:
- Contact details: your first name, email address, phone number and preferred contact method.
- What you tell us: the topic you want to discuss and any message you write.
- Information for an application: if you decide to apply for coverage, the insurer’s application asks for details such as your date of birth, address, health history, income, existing coverage, beneficiaries and Social Security number. That information goes to the insurer you apply with.
- Consent records: whether you agreed to calls and texts, when, from which page, which version of the consent wording you saw, and the IP address and browser details of that submission, kept as proof of your choice.
- Technical information: your IP address and browser details, which our hosting and security providers process to deliver pages, block spam and limit repeated form submissions.
How we use it
- To answer your question or schedule the conversation you asked for.
- To help you compare coverage and, if you choose, to apply with an insurer and service your policy afterward.
- To keep records that insurance regulators require us to keep.
- To prove and honor your choices about calls, texts and email.
- To protect the site and our forms from abuse.
Reasons we can share your personal information
| Reason | Do we share? | Can you limit this sharing? |
|---|---|---|
| For our everyday business purposes, such as processing your application with an insurer, servicing your policy, or responding to court orders and legal investigations | Yes | No |
| For our marketing purposes, to offer our products and services to you | No | We don’t share |
| For joint marketing with other financial companies | No | We don’t share |
| For our affiliates’ everyday business purposes | No | We don’t share |
| For our affiliates to market to you | No | We don’t share |
| For nonaffiliates to market to you | No | We don’t share |
Who receives information, and why
- Insurers you apply with, and the parties they use to underwrite and issue a policy, when you ask us to submit an application.
- Service providers that run our business for us, only as needed and only for that purpose: website hosting (InMotion Hosting), website delivery and security (Cloudflare), email delivery ([EMAIL DELIVERY PROVIDER]), visit statistics (Plausible).
- Regulators and courts, when the law requires it.
We do not sell your personal information. We do not share it with anyone for their own marketing, and we do not resell leads.
How we protect it
The site is served only over HTTPS. Form submissions and consent records are stored outside the public part of our web server, and access is limited to the people at Apollos Planning who need it to serve you. No method of storage or transmission is perfectly secure, so we also keep only what we need. [REVIEW BY COUNSEL] (confirm against the state insurance data security law that applies to the agency)
Notice at collection
When you use a form on this site, here is what we collect at that moment and why:
| Form | What we collect | Why | How long we keep it |
|---|---|---|---|
| Book a conversation / Ask a question | First name, email, phone (optional), contact method, topic, message, the page you sent it from, your call-and-text choice and consent wording version, and the date, time, IP address and browser details of the submission | To reply, schedule, and keep a record of your consent choice | [INQUIRY RETENTION PERIOD] |
| Newsletter | Email address, the page you signed up from, sign-up, confirmation and unsubscribe dates, and the IP address and browser details of each step | To send the monthly newsletter you confirmed | Until you unsubscribe, then [NEWSLETTER RETENTION PERIOD] |
We do not sell this information or share it for anyone else's marketing, and we do not use it for any purpose not listed here without telling you first.
Cookies and analytics
Our website sets no cookies. We do not use advertising pixels, social media trackers or cross-site tracking of any kind.
We count visits with Plausible Analytics, which does not use cookies and does not collect personal information. It reports totals, such as how many people viewed a page and which site referred them, without identifying any visitor.
Our security provider, Cloudflare, may in some cases set a strictly necessary cookie to tell people from automated traffic. It is not used for advertising. [REVIEW BY COUNSEL]
If we add an embedded scheduling tool in the future, that provider may set its own cookies when you use it, under its own privacy policy. We will update this notice first.
Call and text consent records
Agreeing to calls and texts is optional and is never required to book a conversation or to buy anything. For every form submission we keep a record of whether you agreed, the date and time, the page you were on, the consent wording version, your email and phone (if given), and the IP address and browser details of the submission.
We keep this record so we can show whether you gave permission, and so we can honor a request to stop. To stop texts, reply STOP to any text from us. To stop calls, tell us on the call, or email or phone us, and we will add your number to our internal do-not-call list. When you opt out, we keep a record of the opt-out so we do not contact you again. We keep consent and opt-out records for [CONSENT RECORD RETENTION PERIOD]. Your consent applies only to Apollos Planning and is never shared. See our SMS terms. [REVIEW BY COUNSEL] (retention period for TCPA and Florida Telephone Solicitation Act records)
Newsletter
The newsletter uses double opt-in: after you sign up, we send one email asking you to confirm, and nothing else is sent until you do. It goes out about once a month. Every issue has an unsubscribe link, and unsubscribing takes effect right away.
How long we keep information
We keep information only as long as we need it for the purpose it was collected, or as long as insurance and other laws require us to keep records. Inquiries that do not lead to a policy are kept for [INQUIRY RETENTION PERIOD]. Records connected to a policy you buy are kept for [CLIENT RECORD RETENTION PERIOD]. If our email system fails, a copy of your message is kept only until it is delivered, then deleted. [REVIEW BY COUNSEL]
